Who are we?

Donation Manager is run by Adam Clark, an accountant who, after working at Xero for a few years and talking with hundreds of charities who are often overlooked due to their financial constraints, was convinced of the need for charity focused software that was affordable enough that even the smallest charity could use it. Up until now the free to use software build has been self-funded, but for family & economic reasons this is no longer possible.

 

Some of the issues with the Charity sector in NZ

Charities:

 

1. Are generally not growing, or purposefully communicating with, a properly maintained donor database.

2. Face high costs for industry specific software, which means traditional manual input systems are kept in place with high inefficiencies. These are usually run by volunteers whose time is limited and valuable.

3. Are being squeezed for funding. Private donations have stayed flat since 2004.

 

 

 

 

 

 

Over $3b is donated by 60% of NZers every year to over 28,000 charities, but only 58% is claimed for a refund with the IRD. I believe a major cause of this is the friction that exists at every single stage of the donation process – from communication, to the money flows, to administration, to claiming it with the IRD.

 

If software can decrease or even remove the friction points, I believe we can increase the amount of giving to the charitable sector and decrease reliance on corporations and grant givers (who are more likely year on year to change who gets the money than regular private donors).

 

An example of the current usefulness of Donation Manager is a charity who used to have two full time employees spending almost an entire week generating their donation receipts manually. By their second year of using Donation Manager, this took one employee 30 minutes. Imagine that being multiplied by 28,000 times, and how much time can be saved by charity employees and volunteers and better spent doing what they are passionate about instead. However this is just one stage of the friction points.

Donation Manager’s Mission

To produce software and content that empowers, facilitates and expands a new generation of generosity in NZ by improving administration efficiency and building trust between the public and the Charitable sector. The software must be simple and intuitive to use, and be as cost effective as possible so that it is accessible for use by ANY charity in NZ.

 

What will get built

Before Donation Manager, charities did not have a cost effective and easy to use product to generate their end of year donation rebate letters. Donation Manager has been operating since 2017 and now has over 650 charities using our software.

 

It currently enables a charity to sign up, design the receipt, import contacts and donations, and then generate the receipts in a PDF format. All for free.

 

The software has a feature request list as long as my arm, but two features in particular are by far the most requested and will provide the biggest impact on efficiency:

1. The ability to email the receipts directly from the software

2. The ability to generate one-off receipts for donations, as well as an end of year receipt.

 

If the $10,000 pledge goal is reached, the ability to email receipts from within the software will be built.

 

If a $15,000 pledge goal is reached, the ability to generate one-off receipts within the software will be built.

If we somehow reach $45,000 in pledges, a donor portal will be built. I will include a lot more information on this if we hit $15,000, but essentially it will enable better communication between charities and donors, as well as allowing donors to easily submit receipts to the IRD donation tax credit system.

 

Rewards

Sending receipts from the system will be charged at $15 (incl GST) per ‘block’ of 1000 emails, to be charged when the first email of the block is used. This will cover the cost Donation Manager will incur for providing this service, plus a bit of wiggle room to allow for cost increases we may face in the short to medium term future.

 

For every $100 committed to this project, Donation Manager will provide a 10% discount to the cost of a block of emails, up to a 50% maximum discount for any single charity. E.G. a $400 pledge will result in a 40% discount, and the price of a 1000 email block will come down to $9 incl GST.

 

Upon the project being successful, you will receive a unique discount code which can be applied within Donation Manager once the email functionality has been built and there is a billing system set up for it. As it will be unique, this discount code can be used either for your own charity or passed onto another charity of your choosing.

 

Alternatively if you don’t have a charity in mind who can use the software, Donation Manager is operated by The Donation Manager Charitable Trust. As such any amount over $5 pledged to us with no reward attached will be eligible for a donation receipt, so you will get 33% back when you file your receipt with the IRD.

 

Bonus Tier Rewards

If you are, or want to, become a large user of Donation Manager and want to support the work we are doing, you can pledge a minimum of $2,500 and receive a 50% discount off ANY paid functionality we build in the future. This would include functionality such as the donor portal, CRM with SMS functionality, website & other software integrations, etc etc.
